What a maintenance plan should define

An ongoing arrangement should make clear what is checked, how frequently visits take place and how findings are recorded. It should also explain what happens when activity is reported between visits.

Buildings and businesses change. Waste handling, deliveries, tenants, access and repairs can affect the plan, so a review process is useful.

Make the programme fit the premises

Offices, retail premises, managed residential buildings, hospitality and other workplaces have different access, storage and reporting needs. Tell us how the premises operates and which pests or recurring issues the programme needs to address.

Agree the visit frequency, areas covered, inspection and monitoring records, reporting contact and what happens between planned visits. A contract should distinguish routine monitoring, reactive treatment, proofing and repairs rather than leave the inclusions unclear.

Maintenance questions

Can visits fit around opening hours?

Discuss the operating hours and any restricted areas before agreeing a programme. Exact appointment arrangements must be confirmed.

Is every pest included?

Not automatically. The written scope should list the pests and locations covered, exclusions and how extra work is quoted.

What should our staff do between visits?

Keep sightings and maintenance records, report damaged doors or service openings, maintain food and waste routines, and leave monitoring devices undisturbed.

Can we use the reports for property management?

Agree the report format, recipients and review process so findings and remedial actions reach the people responsible. Do not assume a programme guarantees compliance with every external audit.
